We are actively recruiting an exceptional operations leader on behalf of our client who operates within the workforce & professional development sector. Our client provides services to state and local government entities.
POSITION OVERVIEW
This role shall partner with and provide administrative and operational support to and on behalf of the Chief Executive Officer, taking active leadership responsibility for organization operations. The selected candidate shall oversee the day-to-day management of organization operations, including making operational decisions, establishing strategic goals, evaluating the efficiency of business procedures, and managing procurement processes to ensure smooth, fiscally responsible, and organizational success.
TARGET RESPONSIBILITIES
Coordinate and manage day-to-day operations of the organization working closely with the CEO as well as collaborating with internal staff
Oversee management of special projects, strategic initiatives, internal documents, files, procedural manuals and procedures, as well as internal processes
Assist CEO with accounting and finance to include but not limited to financial record keeping, budgeting, processing accounts payable and receivables, payroll, year-end taxes, 1099s
Partner with CEO and designated team members in preparing, reviewing, and/or submitting contracts and proposals
Serve as the organization’s and lead administrator responsible for document creation, storage, organization and management of files, employee handbook, other handbooks, manuals, and other important data and data systems
Primary point of contact and manager of technical and technology equipment, software, platforms, subscriptions, storage, use, management, and technical vendor relationships as well as research and help the organization with technology upgrades and in leveraging opportunities with AI in relation to service delivery to clients, internal processes, and overall efficiency
Work with internal project teams to coordinate and direct strategic organization initiatives as well as initiate and ensure project teams collaboration; Provide leadership and support to active and future projects
Monitor, manage, and improve the level of service delivery to clients, partners, and constituents
Serve as the primary and proactive leader in overall evaluation and continuous improvement across all processes within the organization and make recommendations as needed
QUALIFICATIONS & REQUIREMENTS
Bachelor’s degree or associate degree in business management, operations management, human resources, financial management, project management or a similar field
Minimum 5 years of prior experience providing operations and/or administrative support or leadership to a small to medium-sized organization and/or local, state, or federal government entity
Prior experience supporting and reporting to C-Suite or upper management preferred
Candidates with Six Sigma, Lean, continuous improvement, process improvement, or project management certifications or formal training will receive priority consideration
Demonstrated ability to implement and streamline internal processes and standard operating procedures
Proficiency or familiarity using Microsoft Office Suite, Google Docs, CRM and vendor management systems, virtual meeting applications, Visio, budget/tax/payroll software and similar tools
Ability to lead, facilitate, and collaborate with internal departments and project teams
Must be able to perform this role, communicate and collaborate with remote team members, and manage operations successfully in a fully remote environment
Must be legally authorized to work in the United States.
